Residence Requirements:

RESIDENCE REQUIREMENTS: THERE ARE NO RESIDENCY REQUIREMENTS FOR PARTICIPATION IN THIS EXAMINATION. There are two vacancies at the Erie County Medical Center Corporation. 

Examples of Duties:

An Executive Receptionist provides clerical and administrative support for the executive management of the Erie County Medical Center Corporation; 

Greets and screens visitors and customers;

Assists in answering and directing incoming calls; takes messages and records as required;

Acts as payroll timekeeper for assigned executive manager(s);

Manages travel arrangements for employees attending conferences and other related trips, including booking airlines, conference registration and employee reimbursement for related expenses;

Maintains schedules for hospital conference rooms;

Assembles hospital on-call schedules and posts schedules on intranet;

Maintains highly confidential and sensitive information;

Performs various clerical and administrative support work activities;

Provides coverage for clerical staff assigned to other executive managers as needed;

Attends and/or assists at meetings.

Qualifications:

MINIMUM QUALIFICATIONS:  Candidates must meet one of the following requirements on or before the date of the written test: 

A.) Graduation from a regionally accredited or New York state registered college or university with an Associate’s Degree and three (3) years of clerical experience in an administrative setting; or:

B.) Graduation from high school or possession of a high school diploma and five (5) years of clerical experience in an administrative setting; or:

C.) An equivalent combination of training and experience as defined by the limits of (A) and (B).

NOTES:  1. Verifiable part-time and/or volunteer experience will be pro-rated toward meeting the experience requirements. 2. Your degree and/or college credit must have been awarded by a regionally accredited college or university or one recognized by the New York State Education Department as following acceptable educational practices. A grade of "D" or better is necessary for a course to be credited as successfully completed. If your degree and/or college credit was awarded by an educational institution outside of the United States and its territories, you must provide independent verification of equivalency. You can write to this Department for a list of acceptable companies providing this service; you must pay the required evaluation fee.

Subjects of Examination:

SUBJECTS OF EXAMINATION: A written test designed to evaluate knowledge, skills and /or abilities in the following areas: 

1. Operations with Letters and Numbers

These questions test for skills and abilities in operations involving alphabetizing, comparing, checking and counting. The questions require you to follow the specific directions given for each question which may involve alphabetizing, comparing, checking and counting given groups of letters and/or numbers.

2. Receptionist practices

These questions present you with various situations that might occur on the job, involving telephone calls and visitors. You will be expected to choose the best way to handle each situation.

3. Receptionist record keeping

These questions test your ability to complete and use simple forms and records. You will be given data and asked to enter the data according to a set of instructions. You will be asked to extract and/or compile information in order to answer specific questions. The task is of the type and complexity found on the job and takes the form of making a work schedule, scheduling appointments, and compiling a periodic statistical report.

You will have to be able to use simple arithmetic in order to answer all questions correctly.

4. Using a Directory

You will use a sample telephone directory to supply information asked for in the test questions. The test questions simulate information requests that might be received by a Receptionist.

NOTICE TO CANDIDATES:  Unless otherwise noted, candidates are permitted to use quiet, hand held, solar or battery powered calculators.  Devices with typewriter keyboards, "Spell Checkers", “Personal Digital Assistants", "Address Books", "Language Translators", "Dictionaries", or any similar devices are prohibited.  You may not bring books or other reference materials.

A $20.00 filing fee is required for this exam. The required fee must accompany your application. Send or bring check or money order made payable to Erie County Personnel Department and write the examination number(s) on your check or money order. Do not send or bring cash, as the County cannot be responsible for cash payment.
