RESIDENCE REQUIREMENTS: CANDIDATES MUST HAVE BEEN LEGAL RESIDENTS OF ERIE COUNTY FOR AT LEAST ONE MONTH IMMEDIATELY PRECEDING THE DATE OF THE WRITTEN TEST AND MUST BE LEGAL RESIDENTS OF ERIE COUNTY AT THE TIME OF APPOINTMENT. Currently there is one vacancy at the Erie County District Attorney's Office.
Examples of Duties:
A Legal Data System Coordinator performs performing skilled clerical and supervisory tasks associated with a data processing and records management system in the District Attorney’s Office;
Makes recommendations and participates in the development, evaluation and revision of office, data entry and control procedures including work flow, forms design and determination of staff assignments, responsibilities and requirements;
Supervises and coordinates data entry including form and document verification, scheduling and task assignments, as well as assisting with such tasks;
Supervise data control operations associated with the verification of data and records through the use of the on-line system, reports and listings;
Makes recommendations and updates user documentation and manuals associated with legal data processing systems;
Trains staff and users in the operation of remote terminal site equipment, office clerical and system procedures;
Coordinates and assists in clerical processing including record keeping, filing, folder and printout management, and on-line inquiries.
Qualifications:
MINIMUM QUALIFICATIONS: Candidates must meet one of the following requirements on or before the date of the written test:
A. Completion of two years of study from a regionally accredited or N.Y. State registered two or four year college or university in management information, computer science or related field and three years of data processing experience, at least two years which must have been in a legal office or criminal justice agency with one year in computerized case tracking or similar system; or,
B. Graduation from high school or possession of a high school equivalency diploma and five years of data processing experience, at least two years of which must have been in a legal office or criminal justice agency, with one year in computerized case tracking or similar system; or;
C. An equivalent combination of training and experience as defined by the limits of (A) and (B).

NOTES: 1. * Verifiable part-time and/or volunteer experience will be pro-rated toward meeting full-time experience requirements. 2. Your degree and/or college credit must have been awarded by a regionally accredited college or university or one recognized by the New York State Education Department as following acceptable educational practices. A grade of "D" or better is necessary for a course to be credited as successfully completed. If your degree and/or college credit was awarded by an educational institution outside of the United States and its territories, you must provide independent verification of equivalency. You can write to this Department for a list of acceptable companies providing this service; you must pay the required evaluation fee.

Subjects of Examination:
Subjects of examination: A written test designed to evaluate knowledge, skills and /or abilities in the following areas:
1. Coding/decoding information
These questions test for the ability to follow a set of coding rules. Some questions will require you to code information by converting certain information into letters or numbers. Other questions will require you to decode information by determining if the information that has already been converted into letters or numbers is correct. Complete directions will be provided; no previous knowledge of or training in any coding system is required.
2. Name and number checking
These questions test for the ability to distinguish between sets of words, letters, and/or numbers that are almost exactly alike. Material is usually presented in two or three columns, and you will have to determine how the entry in the first column compares with the entry in the second column and possibly the third. You will be instructed to mark your answers according to a designated code provided in the directions.
3. Office record keeping
These questions test your ability to perform common office record keeping tasks. The test consists of two or more "sets" of questions, each set concerning a different problem. Typical record keeping problems might involve the organization or collation of data from several sources; scheduling; maintaining a record system using running balances; or completion of a table summarizing data using totals, subtotals, averages and percents. You should bring with you a hand-held battery- or solar-powered calculator for use on this test. You will not be permitted to use the calculator function of your cell phone.
4. Supervision
These questions test for knowledge of the principles and practices employed in planning, organizing, and controlling the activities of a work unit toward predetermined objectives. The concepts covered, usually in a situational question format, include such topics as assigning and reviewing work; evaluating performance; maintaining work standards; motivating and developing subordinates; implementing procedural change; increasing efficiency; and dealing with problems of absenteeism, morale, and discipline.
5. Understanding and interpreting written material
These questions test for the ability to understand and interpret written material. You will be presented with brief reading passages and will be asked questions about the passages. You should base your answers to the questions only on what is presented in the passages and not on what you may happen to know about the topic.
NOTICE TO CANDIDATES: Unless otherwise noted, candidates are permitted to use quiet, hand held, solar or battery powered calculators. Devices with typewriter keyboards, "Spell Checkers", “Personal Digital Assistants", "Address Books", "Language Translators", "Dictionaries", or any similar devices are prohibited. You may not bring books or other reference materials.
